There has been a massive growth in the number of online diaries available. They have huge benefits over traditional diaries but many people still use both.

A digital diary is a one that is held on a computer. Although it looks very different to a traditional diary it works in the same way. The user stores information against a specific date and perhaps also a specific time.

For most people, particularly in business, a diary is primarily a tool for managing appointments. It is a way of recording meetings and events scheduled for the future.

The last few years have seen the increasing availability on online diaries. These are digital diaries which are internet-based and are not stored on a local computer.

The Advantages Offered by Digital Diaries

A digital, or computerised diary, offers a range of benefits not present in paper versions. These are:

  • Searching is much easier - if the user forgets the date or time of an event but remembers where it was or with whom, they can search and find it in seconds.
  • Harder to lose - a paper diary is a single book that can be lost in an instant, while digital diaries are harder to misplace and in most organizations they are backed-up for protection.
  • Electronic invitations can be sent and received - if the diary is attached to a network it is simple to send an invite out via email and people can respond at the press of a button.
  • Multiple diaries can be viewed - teams can share their diaries, making it easier to see who's doing what and finding mutually convenient slots for events.
  • Automated reminders can be sent out - emails and pop-up windows on a computer remind users of coming appointments.

The Advantages Offered by Online Diaries

An online diary is a digital diary that is accessed over the internet. It has all the same benefits over paper as a digital diary, but it also offers other features:

  • It can be accessed from virtually anywhere - all that is required in internet access, which is possible from an increasing number of locations, including many mobile phones.
  • Access can be shared with other remote users - meaning that anyone, anywhere, can be given permission to view or manage a diary.
  • Automated reminders can be sent via text message - this is a hugely useful feature for busy executives who spent a long time away from their desktop computer. They almost always have their mobile phone with them.

Despite all the advantages offered by digital diaries they have not entirely replaced the paper variety, and for good reason. Paper diaries also offer unique features that are extremely useful. For this reason many people have chosen to use a combination of both methods for managing their appointments.
